Information Collected Automatically

Some technical information is processed automatically when you use the website, whether or not analytics are enabled:

  • Hosting and security. Our website hosting provider processes technical request information as part of operating, securing and maintaining the website.
  • Spam and abuse protection. When you submit an enquiry, your IP address is converted into a temporary hashed key used only to limit repeated submissions over a short period (approximately 15 minutes). It is not saved with your enquiry and is not used for any other purpose. The forms also include a hidden field used to detect automated submissions.

When analytics or similar technologies are enabled, we or our service providers may automatically collect technical information such as:

  • Internet Protocol address.
  • Browser and device type.
  • Operating system.
  • Referring website.
  • Pages viewed.
  • Time spent on the website.
  • Links and buttons selected.
  • Approximate geographic location.
  • Date and time of access.
  • Enquiry-form completion or other website events.

This information helps us understand how visitors use the website, identify technical problems, improve content, and evaluate whether the website generates charter enquiries.

3. How We Share Information

Yacht Charter Agents does not sell personal information for money.

We may share relevant information when reasonably necessary to provide requested services or operate the business.

Yacht-Charter Industry Participants

To investigate availability, prepare recommendations, or arrange a charter, we may share relevant information with:

  • Central agents.
  • Yacht owners or their representatives.
  • Yacht managers.
  • Charter operators.

We use service providers in the following areas, and they may process information on our behalf only for the services they provide to us:

  • Website hosting, performance and security.
  • Email delivery.
  • Yacht data and media hosting — yacht photographs and listing information are supplied and hosted by our industry data provider.
  • Embedded video.

Where genuinely necessary to operate the business, we may also use providers for data storage and backups, customer communications, and accounting, legal, insurance or other professional services.

These providers may process information on our behalf and are expected to use it only for the services they provide to us, subject to their own legal and contractual obligations.

Legal and Protective Disclosures

  • Complete a merger, sale, restructuring, financing, or transfer of all or part of the business, subject to appropriate confidentiality and legal safeguards.

4. Yacht-Charter Enquiries and Guest Information

A yacht charter is highly personalized. To recommend an appropriate yacht and crew, we may need information about the guests, itinerary, activities, dietary preferences, accessibility requirements, or other practical considerations.

Information supplied during an initial enquiry is used to understand your request and prepare suitable recommendations.

If you proceed toward a booking, additional information may be required by a yacht owner, central agent, yacht manager, captain, crew, insurer, payment provider, government authority, or other participant involved in arranging or performing the charter.

The applicable charter agreement, preference forms, insurance documents, payment instructions, or third-party privacy terms may govern certain information collected later in the booking process.

When you submit an enquiry it is saved as a private record in our website system and is also sent to us by email, with an automatic acknowledgement sent to you. The record is saved first, so your enquiry remains stored in our website system even if an email notification fails to deliver.

5. Cookies and Analytics

At launch, this website does not use Google Analytics or other analytics, advertising or behavioural-tracking technologies.

We do not intentionally use cookies or similar technologies for analytics, advertising or behavioural tracking at launch. Cookies or similar technologies may be used for website operation, security, form processing, or by embedded third-party content.

If analytics or advertising technologies are introduced in future, we will update this Policy and, where required, ask for consent before non-essential technologies are used.

You can manage cookies through your browser settings. Blocking certain technologies may affect website functionality.

6. Marketing Communications

We will not add you to a general marketing list merely because you submitted a charter enquiry unless permitted by law and appropriately disclosed.

Where newsletter or marketing subscriptions are offered, you may unsubscribe at any time by:

Transactional, booking-related, safety, legal, or service communications may still be sent where necessary.

7. International Transfers

Yacht chartering is an international business.

Yachts, owners, operators, central agents, managers, crews, destinations, technology providers, and service providers may be located in countries different from your own.

As a result, personal information may be transferred to, stored in, or processed in the United States or other countries whose data-protection laws may differ from those in your jurisdiction.

Where legally required, we will take reasonable measures intended to provide appropriate protection for international transfers.

8. Data Retention

We retain personal information only for as long as reasonably necessary for purposes such as:

  • Responding to enquiries.
  • Maintaining client and business records.
  • Planning or administering charters.
  • Supporting repeat-client relationships.
  • Meeting contractual, legal, tax, accounting, insurance, or dispute-resolution requirements.
  • Protecting against fraud, misuse, or legal claims.

Retention periods may vary depending on the type of information and the nature of the relationship.

Information that is no longer reasonably required may be deleted, anonymized, or securely archived, subject to legal and operational requirements.

9. Data Security

We use reasonable administrative, technical, and organizational measures intended to protect personal information against unauthorized access, alteration, disclosure, loss, or misuse.

These measures may include controlled account access, authenticated email systems, managed website hosting, backups, spam protection, monitoring, and security controls provided by our hosting and technology partners.

No website, email system, transmission method, or storage system can be guaranteed completely secure. You provide information electronically at your own risk.

11. Children’s Privacy

This website and YCA’s brokerage services are intended for adults planning travel.

We do not knowingly solicit personal information directly from children under 13.

Parents or guardians may provide information reasonably necessary to plan a family charter, including guest ages, dietary requirements, accessibility needs, or activity preferences. The adult supplying that information is responsible for having appropriate authority to do so.
